Who will own my data once I submit it?
The University of Liverpool.
Why do you need my information?
To provide safe and effective care to horses treated at Leahurst Equine Hospital.
To monitor horses through CCTV cameras in stables and clinical areas. This helps us ensure their safety and welfare during treatment and recovery.
To support teaching and training of veterinary students and staff.
To support veterinary research and improve understanding of equine health and care.
To meet legal, insurance, and professional obligations.
What allows you to use my information?
We have a duty to provide safe veterinary care, and this is part of our public task as a teaching hospital.
We are required to keep certain records for legal and insurance purposes.
In some cases, we may ask for your consent, for example if your horse’s data or images are used in a specific research study. Whilst we will request consent for project participation, any processing of personal data associated with such research will be done in accordance with our public tasks.
We will otherwise process your data to carry out activities required under our contract for providing treatment.
Who will my information be shared with?
Other veterinary specialists involved in the care of your horse.
Universities, research organisations, and funding bodies when your data is part of approved research projects.
Professional bodies such as the Royal College of Veterinary Surgeons if required.
Insurance companies where necessary to process claims.
Other University of Liverpool staff as required
Regulatory authorities if we are legally required to do so.
We will only share the minimum information needed and always in a secure way.
Do I have to provide this information and what will happen if I don’t?
You do not have to provide information, but if you choose not to:
We may not be able to admit or treat your horse safely.
We may not be able to process insurance claims.
We may not be able to include your horse’s information in research or teaching activities.
You can opt out of your data being used for research or teaching purposes, but we still need to use some data to provide safe care and meet legal obligations.
How long will you keep this data for and why?
Clinical records will normally be kept for 7 years after the last treatment, in line with professional guidance.
CCTV recordings are usually kept for up to 30 days, unless they need to be kept longer for training, research, or if an incident is under investigation.
Research data may be kept for longer periods (normally 10 years) if required by funding bodies or research policies.
How will my information be stored?
Electronic clinical record systems.
Secure servers for research and teaching data.
CCTV recordings stored on university-managed systems.
Paper records, if used, are stored securely in locked areas.
Will this information be used to take automated decisions about me?
No. We do not use your data to make automated decisions about you.
Will my data be transferred abroad and why?
Normally, your data will stay within the UK. If data is shared as part of international research, it will be transferred securely and only where safeguards are in place to protect your information.
What rights do I have when it comes to my data?
Under the UK General Data Protection Regulation, you may have the following rights with regards to your personal data:
- The Right to subject access – you have the right to see a copy of the personal data that the University holds about you and find out what it is used for.
- The Right to rectification – you have the right to ask the University to correct or remove any inaccurate data that we hold about you.
- The Right to erasure (right to be forgotten) you have the right to ask the University to remove data that we hold about you.
- The Right to restriction – you have the right to ask for your information to be restricted (locked down) on university systems.
- The Right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request.
- The Right to object – you have the right to ask the University to stop using your personal data or to stop sending you marketing information or complain about how your data is used.
- The Right to prevent automated decision making – you have the right to ask the University to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable).
