In order to be considered you must submit your PEC claim via the University’s PEC portal (accessible via the Student Intranet), including a detailed explanation of your circumstances plus any supporting evidence (if you have it).
Online students should email the Online Student Support Team.
When to submit your PEC request
- Wherever possible you should try to submit your PEC request before your original submission deadline or timed assessment
- If this isn’t possible, you can submit your PEC claim up to 14 consecutive calendar days after the original deadline or assessment date
- If you submit your PEC claim later than this, you must explain why and your request may be rejected unless there’s a valid reason for the delay
Please note that PEC claims should relate directly to the impact of personal circumstances on specific assessments. Claims submitted significantly in advance of assessment deadlines (e.g. many weeks or months ahead) or covering broad time periods without clear relevance to the affected assessments may not be accepted.
What to include in your PEC request
Your PEC claim should include:
- Details on what happened and when (timeline of events)
- How these circumstances affected your ability to prepare for or complete the assessment
- Details on the specific assessment(s) affected
- Relevant evidence
When completing your PEC claim please be honest and specific. This will help us make a fair decision on your application.
Supporting evidence
In most cases, you’ll need to provide evidence to support your PEC claim. This might include:
- A medical certificate or doctor’s letter
- A death certificate or funeral notice
- A support letter from a counsellor, wellbeing advisor, or other professional
- Evidence of a crisis (for example a police report, housing notice)
You should make sure that your evidence:
- Clearly confirms the dates and nature of the issue
- Is in English (or translated - you may need to cover the cost)
- Is submitted within 21 days your PEC request being submitted (unless agreed otherwise)
- Is on an official professional letterhead, signed, and dated - we cannot accept informal documents such as plain Word files without identifying details
Important: Photos of graphic or disturbing content (e.g. injuries or distressing images) must not be submitted as evidence.
If you have a disability and your reasonable adjustments aren’t yet in place, confirmation from the Disability Advice and Guidance team or Online Student Support will usually be enough, though you should highlight the impact on academic performance and timing relevance..
Please note: If you have previously submitted an Extenuating Circumstances claim, you will find that the new PEC process is largely the same but the portal where you submit PEC claims will look different as it has been rebranded.
