Who will own my data once I submit it?

Why do you need my information?

The data you provide will allow us with the means to contact you regarding the results of our competition, we may also contact you offering other opportunities to engage with IT Services. We also require the photo you upload to enter the competition and we may post these on our department's social media accounts. Your data will be stored in Gecko, a system the University uses for storing mailing lists and distributing email communications. By submitting your data, you are agreeing to receive promotional communications from IT Services to your inbox.

What allows you to use my information?

By entering our competition, you consent to sharing your information with us. We will use this to maintain our opted in data.

Who will my information be shared with?

Your information will only be accessible to staff at the University of Liverpool who need to see it to complete their work. Your data will not be shared with third parties outside of the University of Liverpool except in the following, limited circumstances with system suppliers involved with the provision of service, such as:

  • Gecko a recognised CRM system used by the University to store and manage our mailing list
  • Social media accounts including X, LinkedIn and Instagram to share your entry on our profiles

Do I have to provide this information and what will happen if I don’t?

Entering our competition is not mandatory, but it will give you the opportunity to win a tech prize. By entering you will also be offered further opportunities to engage with IT Services in the future.

How long will you keep this data for and why?

Your data will only be removed from our mailing list for the following reasons:

  • You choose to unsubscribe from our communications

How will my information be stored?

Information is stored on Gecko, a secure system used by the University to store mailing lists.

Will this information be used to make automated decisions about me?

  • No

Will my data be transferred abroad and why?

  • No

What rights do I have when it comes to my data?

Under the UK General Data Protection Regulation, you may have the following rights with regards to your personal data:

  • The Right to subject access – you have the right to see a copy of the personal data that the University holds about you and find out what it is used for
  • The Right to rectification – you have the right to ask the University to correct or remove any inaccurate data that we hold about you
  • The Right to erasure (right to be forgotten) you have the right to ask the University to remove data that we hold about you
  • The Right to restriction – you have the right to ask for your information to be restricted (locked down) on University systems
  • The Right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request
  • The Right to object – you have the right to ask the University to stop using your personal data or to stop sending you marketing information, or complain about how your data is used
  • The Right to prevent automated decision making – you have the right to ask the University to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable)
